Service Proposals, deposits and Service Invoices
Quote the work. Get it approved. Get paid.
Filter media for a hotel’s indoor pool, or six months of weekly service rounds: price it once as a Service Proposal, your client approves it from a link, the deposit comes in before work starts, and the Service Invoice is drawn from the same lines when the job is done.

From proposal to paid
One job, one record, from the first price to paid in full.
Follow the filter job through its record. The lines are priced once and never typed again, and nothing reaches your client until you send it.
- Price the jobThe media for both filters, the labor to drain, refill and backwash, and the startup chemistry: a fixed price per line, or an hourly rate for work you can’t size yet.
- Send the Service ProposalMark the job as a proposal and your client gets an email with a link to review every line and the deposit. Approval is optional — leave it off and the job goes straight to scheduling.
- Your client approves itOn their phone or at their desk: approve, or decline with a reason. You see when they opened it and what they chose.
- The deposit before the workOnly if you want one: a fixed sum or a share of the price. The job sits in Awaiting Deposit until your client pays, then moves onto the Service Calendar.
- Start the workOn the day, press Start work, and an automatic email tells your client the filter work on the indoor pool is under way.
- Complete itPress Complete once both filters are back in service and the retest is logged. Your client hears it’s finished by email, and the Service Invoice opens ready to check.
- The Service Invoice is readyDrawn from the same lines, with the deposit already taken off. Check it, then send it with one click.
- Paid in fullThe balance is recorded against the invoice and your client gets a confirmation by email.

Work Record · optional
Show a hotel exactly what it paid for.
Every finished job leaves a Work Record behind: the steps your technician logged, before and after photos, materials and time on site. It waits on the pool’s record until you choose to share it — because the client asked, or because the result speaks for itself. It is never sent automatically, and the Service Invoice goes out without it.
- Built from the round as it was logged, never retyped
- Shared on request, or whenever you choose
- Stays with the pool’s history either way
Every Work Record also flows into the month’s Pool Service Record

Recurring service rounds
Six months of rounds, approved once.
The weekly rounds are priced the same way: one Service Proposal for the plan, each round at its price. When your client approves it, the whole recurring plan is approved, and every round takes its place on the Service Calendar.
- Each round is its own record, carrying the plan’s price and work.
- Extra work by the hour goes on the Service Invoice as hours logged.
- Any proposal or invoice prints or saves as a PDF.

Questions
About proposals, deposits and invoices
Can I use this today?
Limparo opens soon. Service Proposals, deposits, Service Invoices and recorded payments are part of what it opens with; the scenes on this page are illustrations with an invented client.
Does the Service Invoice send itself?
No. It is drawn from the job’s lines so nothing is retyped, and it goes to your client only when you have checked it and pressed send.
Can I ask for a deposit before ordering parts?
Yes. Set a fixed amount or a percentage on the Service Proposal; the job waits on Awaiting Deposit until your client pays, then you book it.
Can my client pay by card?
Card payments online are planned for launch. You can also offer your country’s own methods, and every payment is recorded against its invoice.
Can I invoice extra work found on a round?
Yes. Add the parts and the hours to the job and they appear as their own lines on the Service Invoice, so your client sees each one before paying.
